    Junior Administrative Specialist

    Reports to:

    A.   Responsibilities:

    The Junior Administrative Specialist is responsible for:

    • dealing with all questions arising in this area such as updating organigrams, signature lists and other relevant documents
    • assisting in identifying relevant problems / issues and formulating implementation-oriented solutions
    • assisting in developing instruments in digitalization and introducing innovation and change

     

    The Junior Administrative Specialist Professional performs the following tasks:

    B.   Tasks

    1.     Financial Overviews

    The Junior Administrative Specialist

    • assists in/follows up with the tracking of costs and expenses on a monthly basis
    • supports in regularly ensuring that all adjustments are reflected in the financial overviews
    • supports in the preparation of “budget / actual” comparisons and reports variances
    • follows up on timely delivery of employee time records (ZAS)
    • assists with regularly calculates and adjusts office/project cost allocations
    • performs assigned tasks for administration during internal control or audit

     

    2.     Data Processing

    The Junior Administrative Specialist

    • revises the relevant GIZ filing system (DMS) for the GIZ Office and ensures that all necessary documents are filed according to GIZ guidelines.
    • contributes to the digitization of processes and makes suggestions for improvement

     

    3.     Secretariat work and services

    The Junior Administrative Specialist

    • organises and coordinates the superior’s schedule
    • reminds, updates and notifies the superior of daily appointments
    • prepares and organises information materials for the superior and/or meetings
    • photocopies and scans documents as needed
    • participates in internal and external (team) meetings and workshops and assists with documenting e.g. by taking minutes of meeting
    • coordinates and organises rooms for superior’s meetings

     

    4.     Administration

    The Junior Administrative Specialist

    • prepares and updates organigrams, signature lists and other relevant documents autonomously for the GIZ Office when there is a change of personnel, as well as delegation letters for projects
    • organises the filing system of the GIZ Office according to GIZ guidelines and ensures that all relevant administrative data is updated and filed for future audits

    The Junior Administrative Specialist

    • performs other duties and tasks at the request of management

     

    C.    Required qualifications, competences and experience

    Qualifications

    • Bachelor degree in relevant area (such as Business Administration).

     

    Professional experience

    • 1-2 years professional experience in a relevant field.

     

    Other knowledge, additional competences

    • Good working knowledge of ICT technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office), with very good work knowledge in Excel;
    • Very good written and oral knowledge in Arabic and English, good knowledge of German language is a must;
    • Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management;
    • Quick comprehension and good understanding of complex issues;
    • Affinity for numbers, very good analytical skills;
    • Acts with a high level of confidentiality;
    • Works very accurately and independently.
